Define a necessary and proportionate purpose

Responsible monitoring begins with a documented purpose. The organization should be able to explain what problem is being addressed, why video is suitable, and whether a less privacy-intrusive approach could meet the same need.

AI does not remove the privacy obligations connected to video. It can increase the importance of clear boundaries because it makes large volumes of footage easier to classify and act on.

Limit collection and access

Camera views, active schedules, detection zones, retention periods, user permissions, and exported footage should all match the defined purpose. Access should be limited to people with an operational need.

• Document the event and response workflow
• Avoid unnecessary views of private or unrelated areas
• Use role-based access and review account activity
• Set a retention period and deletion process
• Provide appropriate notice and internal procedures

Keep people responsible for decisions

AI output should be treated as a signal for review, not unquestioned proof. Staff need a clear process for validating an event, correcting errors, escalating concerns, and documenting significant actions.

Review the workflow on a schedule

A responsible deployment should have a review date, an owner, and a small set of performance questions. Confirm that the purpose still exists, access remains appropriate, retention is being followed, and alerts are producing useful outcomes.

• Review false alerts and missed events
• Remove accounts that no longer require access
• Check whether camera views or monitored zones have changed
• Document material rule or model updates
